Do some Excel Work

I have a patient tissue sample data base used for maintaining a tissue bank for medical research. The current system we have is spread over 4 Excel workbooks which all need to be updated when a sample is added or removed in addition for privacy and ethical requirements sample have to be de-identified. What i would like to do is to as much as possible is to link the workbooks together so data is entered on one standard page which then automatically updates all the files. the four different workbooks are as follows: 1) Master list : when a new patient is recruited to provide samples their name and Date of birth are recorded and a code number is assigned to de- identify the patient. The code is then used for all subsequent records to protect the patients identity also this workbook has to be password protected. 2) Patient sample data base : this file records the patients Id code , sex, disease state, sample type, if a consent form is on file, and where ALL the patients samples are stored. Each patient may provide multiple samples at different time points so this file records were all the samples from an individual patient are stored. 3) liquid Nitrogen Storage: This file records were all the individual patient sample vials are stored in liquid nitrogen tanks . we currently have three tanks which are organised for example Tank 1 ( T1) Rack 1 (R1) Box 1 ( B1 ) Box position (Pos 1-6 ) which is written as e.g patient 150708 T1R1B1Pos1-6 4) Serum storage : in addition to the tissue sample blood serum samples are also stored in a -80C freezer . The serum samples are stored as e.g : Rack C , Box 1 , patient code , disease type and date. I will upload exaples of the files with the actual patinet names removed and I hope someone can make sense of what we do a help devise a easier system. Thank you for your interest.
