Application will help Doctor offices to book an appointment by the patient themselves. In essence, the clients can simply go online and choose an available date and time for an appointment instead of calling.
For the First time patient:
F10. One time registration form is accessible to public, they enter the client information, like name and email address and phone number.
F20. The doctor receptionist can confirm with the requester is his/her patient by clicking a box, email confirmation will be sent to the patient.
Book an Appointment (For the patient)
A10 . patient go to the Google Form of the business they want to book an appointment with, enter email address and the date (this is already done) and hit booking,
A20 . the program confirm if the patient is in the list, if “no”, return message to ask to register . if “yes”, returns with all the available time slots for that day.
A30. patient selects their desired available time slot and hit confirm.
A40 the program update the name, email, date, and time of appointment is put onto the Google spreadsheet (Only the business and administrators can access this spreadsheet)time slot sheet and automatic email patient confirmation appointment booking.
A50 At a set time before their scheduled appointment, a reminder email is sent to the client
Cancellations (For the Business)
CB10. Name, email, date, and time of appointment is organised and displayed for the business to see and cancellations on Google Sheets
CB20. when the business cancel the appointment for a specific client, Sked automatically sends the client an email notifying the cancellations and ask the client to book another time.
CB30 when client hit the booking bottom, it will go back to “Book an Appointment (For the patient)” section.
Cancellations (For the Client)
CC10. Client can choose to cancel an appointment, via a separate Google Form (As a link) which can be found in the confirmation email sent after each appointment booking.
CC20. Google Form displays confirmation message stating the name, date and time of appointment the client wishes to cancel.
CC30. Client Confirms appointment cancellation by hitting the a bottom and cancelation email notification will automatically send.
Hello!
We will use several Google Apps to create the system you are describing:
1. For the initial registration form, it can be a normal Google form with a Google script bounded to the form. When a patient submits the form, the script will run, send the info to the receptionist.
2. The receptionist will have its own Google App. That will be a deployed Google App. In this app, the receptionist can confirm the patients requests to add them into this doctor system. Once a patient gets the confirmation, he will receive the confirmation email.
3. The appointments booking app. That will be a Google web app "can't be a Google form as we need it to be interactive, to get the patient email, then checks it to see if the patient email is on the list or not". If the patient is on the list, it will show the available slots.
4. The receptionist can also determines the available slots using the receptionist app "the same app as in #2". He can block a day as well or certain slots if the doctor isn't available.
5. The receptionist can also cancel an appointment through the receptionist app as well. The patient will get informed.
6. We will have another Google App for the patient to cancel his appointment. Only the patient can open his booking through the unique link sent in the confirmation email.
