Hi, Currently we have a multi sheet excel file that contains what we call as monthly charges. We manage a service company and each month we enter the information into this file to charge our users, we want to look at making this into a DB and use a web page to manage it. On top of this, we currently override this file each month with no historical data, we would like to possible keep this if feasible. At the moment our historical data is taking a copy of each month once completed and then override the data. Some important sheets are: - Rate; we keep a list of services and products we offer and how much we charge - User Info; A list of users that have location, company and cost centre (we have multiple companies and cost centres) - Invoice Summary and Invoice Detail; Pivot tables that collect all the charges and easy to view for the end users (Summary is by Company/Cost Centre and Detail is by Company/Cost Centre/User - There are another 22 sheets within the excel document that we are using to charge different ascepts out to either the entire company the cost centre or to the specific user. All these sheets pull information like the rate from "rate" sheet. - There are some excel conditions like ifs are used to calculate some more complex rules, for example. Our helpdesk charge is a a flat fee per month of $50 which includes 1 helpdesk call per month, after that each call is $85 per hour. The solution we are looking for will also need to be designed that we can add users, companies, cost centres, do general maintenance and etc.. We were thinking a potential python with django solution however open to others. Can supply excel file, but contains some sensitive info once project is a go head. Thanks Jason

Hi Jason - My understanding of your problem; What you have is a rate computation and invoicing solution. You have the master list of services, the rates available. On top of this you provide the hourly effort spent against each service based on which the rate is picked, Invoice amount computed. You also have some special services that need specialist treatment. On a monthly basis you archive a copy of the excel and create a new copy for next month which you over write. Few challenges/drawbacks i see in this approach are: - Not sure how you are tracking your invoice because the the data is archived and payment can be received much later - Not sure how you are making amendments to the Invoices raised previous month - If you have many users to the system, do all of them have same level of access - Reporting. It is difficult to do some kind of trend analysis across months .. Solution I guess you have identified the right thing to have a database, there by archiving is implicit and not explicit. We need to build a OLAP kind of schema to hold this data and build an application (it can be webbased or excel or both) that reads from the database and write to it. Technology stack can be discussed based on budget. There is a broad spectrum of options available. About me: I am an IT professional with 2 decades of experience of which 18 years were with Infosys. Having worked for customers like Apple, Microsoft, Boeing, TI for most part of my career I am a seasoned professional.

Hi, You should not make this a web-based program. Rather, you should make it a local desktop application that will work in your company only. I can develop this for you as a Windows desktop application, that is multi-user, has all the features in the current Excel. Application will work on your local company network (LAN), and many users will be able to use it simultaneously. It will need one computer to be designated as the database server computer, this will have SQL Server software installed on it, and the shared database. I can deliver in 45 days (6 weeks).
