Virtual Assistant/Receptionist with Quickbooks experience

Hi,

We’re looking for someone that can help us with a subset of work in the office. We have high and low periods of work. Normally we just running a normal consulting business and our business activities consist of purchasing normal things for the office and invoicing for the time our team is working.

Sometimes we are going to an event or conference and we need to arrange payment, travel, ordering promotional products, etc… Sometimes we are running an event and we need to coordinate with a lot of different organizations. Generally, I would think that the work could range from as low as 5 hours a week when we don’t have much activity to 20 hours per week when we have an event we’re doing.’

In this role you would become a part of our team and with that, we would want you to join us weekly for a 30 minute videoconference meeting where we can go over what tasks you can take on.

You would be responsible for:

• Review time entries from employees (approximately 5) and run payroll

• Review time entries from employees and create invoices for customers

• Receive phone calls when the employees in the main office cannot answer

• Creating pricing tables and quotes for customers

• Proofreading quotes and proposals for customers

• Managing expenses

• Creating reports for customers

• Onboarding new employees and removing permissions when an employee leaves the organization

• Setting appointments, managing calendar, and handling common email responses

• Ordering supplies for conferences or for the office

• Creating budgets and managing expenses or services

• Managing contracts to ensure that we do not exceed hours available

• Reviewing tasks for employees to keep track of making sure projects are being completed

Skills:

• Excel and Word

• Great email etiquette

• Receiving phone calls

• Quickbooks (payroll, categorizing expenses, paying taxes

• Task management (Jira or Asana)

• Appointment setting and management
