Online Bidding program

I currently sell a bidding program that uses excel spread sheets to calculate a bid.? And my company also? has a membership. I am looking to add as a added benefit to my memebers an online bidding program.. The bidding process uses a total of 10 methods of determining an actual price for the customer. What I am looking to do, is to turn this into an online web application.? ? The online web application used by CPI members is to cretae, edit, save, delete, print and search bids.? Using their existing member login and password members are authenticated. The member inputs data depending on the bidding methods they have chosen and then it is presented with a recommended bid,? however the price can be changed.? The bidding program will take the recommended bid in automatically send it into a bid proposal.? The online bid application will provide information for the member regarding personnel required (custodians) cost, profit, supervision and overhead.? After the user inputs their data they may then cance. edit, print or save the file. It's important that this program has it's own website page, with excellent search engine results for people interested in learning how to bid properly.? So it will be its own entity on the internet, but all members will have free access to it. ## Deliverables # Requirements ## *Application Overview:* #### Description: Online web application used by CPI members is to create, edit, save, delete, print, and search bids. Using their existing member login and password members are authenticated. The member inputs data depending on the bidding method(s) they have chosen and then it is presented with a recommended bid, however the price can be changed. The bidding program will take the recommended bid and automatically send it into a bid proposal. The online bid application will provide information for the member regarding personnel required (custodians), cost, profit supervision and overhead. After the user inputs their data they may then cancel, edit, print and/or save the file. The member may lookup saved bids (archived). They may then edit, save and print or save again as a different bid. ## *Objective:* Clean-Pro Industries would like to provide to all subscribing members an online bidding application with a free temporary trial period. Not all members may want this service to continue so there will be a need to be an off/on button to differentiate subscribing members. The online application should be easy to use, and pull information from their current profile. It will be very important to have this site submitted high on the first page of Google for marketing strategies. A demonstration page to show how the bidding program works will also be needed. It will need to have easy access to from the sites main page.? The bidding program will be connected to the current Gold Membership recurring billing on Paypal, however if a person will want only the bidding program, this will be needed to connect to Paypal for automatic recurring billing. ### User role and responsibilities #### The CPI Administrator The administrator is responsible for allowing or denying the member access to the online application. The administrator will have full access to all bids in the master database so they can help members with any problems or questions. #### The CPI Member The member is solely responsible for the input of data as prompted by the application. The online bid process will not be phased, meaning that the member may not partially complete a bid and then save up to that point. The bid must be completed through at least one method before being saved. The bid may be edited at a later time, adding more bidding methods. This will discourage partially completed bids. Also, this will eliminate the need for the application to check for bid “state??. The member may cancel the work flow at any time. Cancelling the online bid process will rollback all data (if committed) to the database to maintain data integrity. There will be reasonable limits to some fields. The member will be responsible to maintain their archive of bids. There will be a maximum number of bids (100) stored in the database for each member. ### Use case scenarios The subscribing member is the user. The member logs on to the home page ([login to view URL]). They want to build an online bid. The member will reach the online application and follow the prompts. The member will have all their company information pulled from their company directory listing page, however they will have the option to change any information they may want from this file.? This change of information will only change their bid proposal and not their company profile.? The member may edit their company information for that specific bid before saving the bid. The member can choose any combination of the 10 methods to bid. Methods: 1. Intuitive 2. Square Footage 3. Production 4. Previous 5. Max-Min 6. Standard 7. Cost Plus 8. Current Price 9. Purchase Labor 10. Monthly Average (a summary of the other nine methods with a suggested price) ***Scenario:*** The member has chosen method 2, Square Footage. This is the most important method (aka Price Charts). Square Footage method will ask: 1. Square footage 2. Frequency of cleaning 3. Type of facility being cleaned 4. And density (population of area) If this is the only method chosen, the online app will give a recommended bid price and present to the member analysis information for decision making. Analysis for decision making (each bid): ·? ? ? ? ? ? ? how many hours that this job will take ·? ? ? ? ? ? ? how many cleaning custodians to hire ·? ? ? ? ? ? ? Allowance for supervision * how much profit and overhead this would cost (This analysis is not presented in the bid but for the member online information.) The online application will also have an additional function (specific form) for windows, floors and carpets. The member is given the opportunity to edit bid price, adjusting to local prices, personal preferences. If more than one method is chosen then the member will be presented with a form similar to the Monthly Average where he will make a choice of prices. Accept or edit and approve. Then proceed with the generation of the bid. The member should be given an opportunity to print preview where he may go back or proceed with the printing and saving. This information should be accessible online via a standard browser. The print format will be HTML/MS Word. ### Interaction with legacy website and database The online bidding application will use the existing [Http://[login to view URL]][1]? member authentication. #### Administration The existing member data table will have a field denoting them as a subscribing online bid member. If true, then the member will have access to the application. The member can be authorized to use the online bid application when added: The existing database will have a table for each member’s online bids and the bids will be archived by bid number. The bid number will not be customizable, it will be online application generated by the next available unique id in the member’s bid table. Bid number will be the unique key. There may be no duplicate bid numbers. The look and feel will be patterned after the existing CPI directory website. Also, there will be an administrative switch in the edit user portion of the Admin panel to allow online bid generation: ? At the time of adding a subscribing member, automation must add the necessary table and table edits to the database. #### Member The member will click on the link “Online Bid?? and be taken to step 1 of the bidding process: The bidding process is to be determined based on the method(s) chosen.? (Follow the Excel spreadsheet logic with buttons to add new lines of data to the form.) *** *** ## *Functional requirements:* ### Security Maintain connection strings, user name and passwords in the same manner as the existing site. Do not allow viewers to jump to a webpage without authentication. Authenticate user on every page. ### Administration/Customization Alter the Admin UI to allow the addition or deletion of a subscribing member. ### Reporting Count of how many current members with bidding program. Count of how many current members with Gold Membership using bidding program Count of how many bids have been created and who is using it. ? ### Scope The scope of this online application is limited to providing an online generated bid based on the logic found in the CPI CD Bidding documents and inserted into a word based document. No summary information from multiple bids, accounting, bookkeeping, invoicing is planned. ### Performance This application should be compatible with HostGator, PHP and MySQL database. ### Usability The application should be similar to the existing MyCPI interface and compatible with the existing [login to view URL] website.
