Airport Shuttle Booking and Dispatch Web based Software

We are a Melbourne Based Airport to City Shuttle Bus company, we are seeking a web based solution to make bookings on our website or a new website that you design and maintain. It will need to have a backend that can be used to dispatch jobs to our drivers etc, see below. We require the following Functionality. • Online bookings with the ability to pay for the tickets via paypal (not compulsory – can pay driver cash). • Option to book one way and return tickets. • Ability to manually make bookings. • Mobile phone user friendly booking web interface. • Make bookings with the ability to add suppliers to bookings e.g. Hotel, Travel agent • Have a login for the suppliers to pre populate collect or drop off location details and track commissions due to them. • Be able to print well formatted reservations for clients from the supplier’s point of sale. • Web Bookings will need to have rules setup to prevent bookings being made after hours for the business open the next morning for example. • Back end will require the ability for users to login and have levels of access to be set by an administrator. • The backend will be required to be able to track drivers working that day and assign them to a vehicle and then assign pickup jobs to those vehicles. This is done in 3 ways, (one) is our operators work out drivers runs ahead of time they then allocate these collections to the buses, (two) is they need to issue these jobs to the drivers over our radio and change the status either by colour change or a tick to show the jobs have been issued, we currently have a purple tick for assigned and with keyboard shortcuts we change the colour to a green tick when the job is issued to the driver. (Three) When clients call us from the airport we have the ability to place a timer next to the booking to remind us that a client is waiting for the next bus. • The backend will be required to have a minimal screen footprint with maximum screen being utilised to show listed bookings. • Driver colour coding for jobs when allocated would be a very useful function if possible. • A clear and un-cluttered window to make reservations & preferably reservation fields that can be tabbed though to avoid being slowed by a need to use the mouse. • Date can be changed by simply using + & - keys on the keyboard to speed up the process. • Ability to be open for a future integration of using mobile barcode scanner to scan tickets and update our system accordingly. • Prefer non exclusive outright purchase of software with no ongoing fee’s. • Either host on your server or our own. • Area to define payment methods on booking page. Reporting – • The system will be required to print daily run sheets for our drivers. • Print a report that breaks down all jobs the driver has done that day showing payment methods and a total. • Print due commission by supplier. • Driver Rosters (not a necessity if too hard) • Generate a tax invoice for jobs, reservation number will act as tax invoice number. • Have as part of our booking page an area to enter a client number or login. This would be used for suppliers and regular uses to save time and login and have our system remember all there details, they would simply enter a date and time to book. • Ability to make up vouchers to be entered on our website. • The system would need to have several pricing zones and then we would attach hotels and addresses to these zones. • We also have scenarios where discounts are offered for multiple travellers or families. This would need to be calculated live as part of the booking process and be displayed to the client prior to confirming the booking. • We would prefer an interface that resembles our current system so our staff will be familiar and won’t require too much training to change over. • Ability to cancel – amend bookings on our website will also be required. Prefer Melbourne Based Company. Ongoing support would be required either for a call out fee or a yearly fee.
