194834 COMPANY TOTAL ACCOUNTS SCRIPT

We need a accounts script/programme created for a graphic design / web hosting company. Overall Breakdown: Secure Login for users Dashboard page with the following as sections: CLIENT ACTIONS - clients - list clients, add new client (client fields are ID, client name, contact, full address, Tel, Tel2, Mobile, fax, email, account email, web address, notes) - new project (select client from list, title, date opened, Title, Description, close project button) - new hosting plan (select client from list, select from packages available, date started, monthly or annual, renewnal date for web hosting) - new domains (select client form list, abaility to add multi domains into the one client account, date created for each domain, renewnal date for each domain) - new timesheet (select client from list, date opened, time spent on job in hours/minutes, description of work, amount of money) - new quote (select client from list, date opened, title, description of work, amount of money, checkbox to hit when live job for reporting) - new invoice (option of build from timesheets under a project or brand new, client payment info box within invoice screen to mark when paid, then opriotn to email/print a receipt for the payment - and the invoice data carrys onto this also) QUICK REPORTS - unpaid invoices (shows all unpaid invocies) - hosting (renewnals due, total hosting accounts etc) - domains (renewnals due, total domain accounts etc) - outgoings not paid - annual cashflow summany - client reports (select from client list) then run reports on either projects, timesheets, invoices, hosting, domains or quotes. also options just to select any of the above sections and run full report in that section, ie, all timesheets. these reports should then show on a graph with the hours & money broken down into weekly, monthy or yearly options. But if client is selected it reports back on all activity for only that client. OUTGOINGS - add a new outgoing (should be able to add new outgoings to list option, select from list, date, price, vendor -select from list, add new ones etc, Description, then once submit to the database a payment info box appears for you to select if paid already, date, value, payment method ie, cash, transfer, DD, cheque, other) - list all outgoings (per year selection) - summany shows year plan with detailed outgoings per month. Click on the month and you can see full monthly outgoings. TAX REPORTS - shows full tax report for the year - including all money in, all outgoings, Capital expenditure, with totals along bottom, and overall summany at bottom. - export to excel file format for accounting purposes. Ability to select year start and end , ie, Dec to Nov etc. SETTINGS & PREFS - system settings for full programme - paypal payment settings NOTES - A section for notes, that any user can leave note, or to do lists. This section should take up a large part of the dashboard page, with a scrol bar showing all notes entered with option to delete. We would need an input panel for this notes section. Title, Date & time, mark it Urgent, Client, Notes etc It would be like a general noticeboard for the users of the system to view and add items to. The notes/to do panel would only be on the main dashboard page. A similar script out there at the moment is phpaccounts, If you have a look at this, and you will see the kind of project we are talkin about here. But as you will see it doesn't have any of the domain & hosting side of things that we need included with it. All main items should be linkable, ie, a clients name can be selected and it opens up the client info page for that client and can be edited. We are more than happy to create design visuals for you on how we want this to look. Then you could add them to your coding. Some Further notes on the features: Web hosting Side: 1) We would need a config menu where we could enter different packages with their prices. 2) The ability to enter / edit clients details in to the database : including domain, company name, contact name, address including Postcode, telephone number, email address and the specific web hosting package that they picked with the price. 3) The ability to pick whether they are monthly or annually billed, the software should also tell us when a client has 30 days left on their web hosting package & should have the ability to send an invoice by email (fully automatic within script) and be able to print the invoice (maybe a button we can click to show accounts that are due to be paid and a button to click when they are fully paid, so we would probably need a text field to enter how much they have given us incase they underpay us!. It would be good to have a bit that we just upload a template shell for the invoice incase we need to change the invoice details or move premises (preferably a PDF). 4) The software should also have the facility to enter more than one domain for a client, maybe an add facility incase a client has up to 10 or more domains & we should be able to put in when the domain was bought / registered and when it's due for renewal (some can be one year others can be 2 years) & have a price box per domain as domains can be different prices and again be able to send out an invoice 30 days before renewal dates. 5) Ideally it would be great if these bills/invocies could be linked to Paypal & the software could just send out a billing button with the invoice for the correct amount that we are owed. 6) A menu where we could also view all clients etc.... with a few of there details showing.... eg... Domain name, web hosting package, when its due for renewal & when their domain is due for renewal, giving us various reporting on our clients. Design Side: 1) The client list would probably be the same as the web hosting side (so as there is only one database), but may be different as we may have clients that just want to use the design side of the business. 2) We would need a config menu where we could enter a list of different job names eg... Website Design, Corporate Identity, Leaflets.... etc....... 3) The ability to put in an hourly rate for a client or a one off price for a job. So we should be able to put in how many hours that we have worked on the job, ie, the system will have timesheets and projects. 4) A list of members of staff (login users) that we can enter would be good, so's we could tell who did each job or who is working on it, ie, tag a project, and when a timesheet is filled in - it includes their user name. 5) The ability to complete a job when its finished & a button to click for payment received as above with a box incase they don't pay the full amount. 6) As above the ability to send an invoice via email and the ability to print the invoice as well. 7) Quote system to genarate various job quotes, and email to customer, with print option also. Accounts side: 1) We would want the system to produce our finance placement. Taking into account all incomings and outgoings, brokwn down into day. week, month and year selections, ie, produces a live ledger for us to work from, and exports as an excel file format. ie, Create your own general ledger accounts, track expenses and revenue of the company. 2) Ability to input outgoings into the system. Again creating them, and stated the cost, and when paid. 3) Have an unpaid invoices section, and any unpaid invoices shows up here. Ability to automatically email the client with a reminder after 30 days, and also a final demand and after a further 7 days, if the payment hasn't come into us. Mark payment part, must allow to select type of payment and the amount, if under the total invoice it keeps the remaining monies owned open. Templates: 1) We will produce pdf files that we want to upload into the system to use for invoices, receipts, quotes, reminder, final demand, letterhead etc Other things: 1) Secure login facility 2) Every field we enter, should be editable and viewable via the reports etc at a later stage.
